Officers' Jobs

Each
Toastmasters Club is made up of seven officer positions. The office holders
make up the Club's Executive Committee. NCR Toastmasters combines the Secretary and Treasurer positions, as
well as the Public Relation and Membership positions. Although each position has specific
responsibilities, officers have in the past shared their duties as their skills
allow.
The
President
is the Club CEO. Duties include:
- Responsible for general supervision and
operation of the Club
- Presides over club meetings
- Presides over Executive Committee Meetings
- Directs club in a way which meets the
educational growth and leadership needs of members
The Vice President Education is in charge of the Club's educational
program:
- Plans club meetings
- Promotes the Toastmasters educational program to
Club members
- Orients new members
- Assigns a mentor to new members
- Educates members on evaluations
- Arranges for Toastmasters special programs to be
conducted
- Attends and participates in Executive Committee
meetings
- Votes for the club at Area, District, Regional
and International business meetings
The Vice President Public Relations is in charge of
publicity for the Club:
- Develops, implements, and administers a
publicity program for the Club
- Responsible for Club newsletters and news
releases
- Publicizes Club events
- Works with Club officers to develop literature
about the club
- Represents the Club to the media
- Attends and participates in Executive Committee
meetings
The Vice President Membership is responsible for building a growing
and satisfied membership:
- Plans, organizes and implements a continuous
marketing effort to maintain or exceed 20 members in the Club
- Works inside and outside of Toastmasters to
promote the Club
- Helps prepare the semi-annual membership report
- Provides for recognition of members who help in
increasing the membership
- Maintains an accurate membership roster and
attendance records
- Attends and participates in Executive Committee
meetings
The Secretary is responsible for Club records and
correspondence:
- Meeting reports
- Club Constitution and By-Laws
- Other Club documents
- Prepares and mails orders for Toastmasters
supplies
- Records and reads minutes of Club and Executive
Committee meetings
- Circulates TIPS, the supply catalog and The
Toastmaster magazines
- Attends and participates in Executive Committee
meetings
The Treasurer is the Club's finance officer:
- Receives and disburses funds in payment of all
obligations
- Provides the bank with a signature card
- Develops and recommends a budget for the Club
Executive Committee
- Collects dues
- Presents a verbal and written financial report
monthly
- Submits Club accounts for audit
- Responds to IRS and other government agencies
- Attends and participates in Executive Committee
meetings
The Sergeant at Arms is in charge of physical arrangements for the
Club:
- Welcomes each guest
- Arranges room and equipment for meetings
- Arranges for food service at meal meetings
- Controls Club property between meetings
- Attends and participates in executive committee
meetings
NCR
Toastmaster officers serve 12-month terms running from July through June. The
District provides officer training during July-August and January-February --
four or more officers are asked to attend each session.
